The Medical Records Clerk is responsible for the overall management, storage, and retrieval of medical records.
Responsible for coordinating and processing requests for the release of medical records in a timely and efficient manner, ensuring accuracy and compliance with regulations and standards.
Works collaboratively with all departments across the organization including clinic staff and the legal department.
This is a full time position and will work:
Monday-Friday and will be required to work in our Manitowoc, WI office
Responsibilities:
Understands the location of and coordinates storage of all medical records across the Forefront platform, including location of paper records, legacy electronic medical record systems, and current EMRs.
Coordinates with clinic staff to identify the type of request for release of patient health information.
Reviews and ascertains the correct patient and patient health information is being provided and raises any concerns regarding highly sensitive information with legal department.
Validates and certifies requests for patient health information ensuring they meet compliance standards and patient authorization.
Contacts patients and/or other relevant third parties to obtain appropriate authorizations.
Processes requests for release of health information, and verifies the accuracy and appropriateness of scanned documents and health information provided based on the type of request.
Ensures all releases of information are in compliance with the request, authorization, Forefront policies, and State and Federal/ HIPAA regulations and guidelines.
Works with billing department to obtain relevant billing data.
Retrieves health information records/documents from various departments and clinic areas, and delivers/forwards to appropriate areas as needed.
Serves as a resource in answering patient, provider, and employee questions/concerns relating to requests for health information.
Performs clerical functions which may include:
answering telephone calls, copying, faxing, etc.

Qualifications:
Education High School Diploma, GED/HSED or equivalent is required.
Completion of health information management or healthcare business program preferred.
At least 3 years of experience in large medical office or healthcare practice environment desired; additional experience working with medical records is desired.
Knowledge, Skills and Abilities Excellent communication, interpersonal, customer service, and organizational skills Demonstrated understanding of HIPAA confidentiality regulations and related state and federal laws.
Ability to read and comprehend healthcare terminology.
Ability to understand and become knowledgeable of release of information standards, policies, procedures, and HIPAA regulations.
Intermediate computer skills including proficient keyboarding skills and experience in using Microsoft Office products, electronic mail and/or electronic health information records systems.
Must have the ability to comprehend and follow instructions.
Must have high attention to detail and accuracy.
Ability to work independently, prioritize, problem-solve, and make decisions with good judgment.

Estimated Salary: $20 to $28 per hour based on qualifications.
